WHAT: SESA Staff Conference 2025
WHEN
  • • May 25: Arrival
  • • May 26-28: Conference Days

REMINDERS
  • • There will be a 1.5 to 2-hour ride from Bangkok airport to Pattaya.
  • • Onsite registration will start at 3pm at Bldg B Lobby.
  • • Dinner will start at 6:00pm at the designated meal venues.
  • • Opening Program will be at 7:00pm at the Fidella Main Ballroom, Ground Level Bldg BQ with overflow at Fineen Ballroom, Lower Ground on livestream.
01. Travel Requirements

Visa Requirements:

  • • Nepal and Bangladesh citizens need to apply for a visa before traveling.
  • • For eVisa applications: Thailand E-Visa
  • • The other countries in SESA do not need a visa: Bhutan, Brunei, Cambodia, India, Indonesia, Laos, Malaysia, Myanmar, Philippines, Sri Lanka, Timor-Leste and Vietnam.

02. Arrival in Bangkok: Suvarnabhumi Intl Airport or Don Mueang Airport
  • • WiFi is available at the airport for your internet access needs.
  • • For local currency, money changers are available at the airport or in Pattaya for better rates (near the hotel).
  • • The current exchange rate is around ThB31.00 to US$1.
03. Transportation from Bangkok Airport to Hotel and vice versa
  • • Airport transfers will be provided from the airport to Pattaya and from the hotel to the airport for your return flight.
  • • Please make sure you fill in the Flight Details form to provide your flight schedule.
04. Hotel Check-in is at 2pm
  • • Upon arrival at the hotel, please proceed to the lobby of Bldg B for onsite registration and hotel check in for your room assignments.
  • • Should rooms be ready, early check-in may be accommodated by 12 nn.

May 25: Arrival

  • • Welcome Dinner is at 6:00pm
  • • Opening Program is at 7:00pm
  • • As we celebrate the gathering of nations from the SESA region and around the world, united as one family in Christ, we invite everyone to wear their national costumes for this evening

May 26-28: Whole day starting at 8:30am and ending at 6pm

May 29: Departure

06. Conference Venues

Fidela Grand Ballroom (G/F of Bldg BQ)

  • • Maximum capacity is 1200 seats on theater arrangement

Fineen Ballroom (Lower Ground of Bldg BQ)

  • • Overflow room with livestream
07. Meal Venues

Welcome Dinner on May 25:

  • • G/F Breakfast Area of Bldg A & B; and Fauna Ballroom
  • • Fauna Ballroom is at the Lower Ground floor of Bldg A

Breakfast: G/F breakfast area of the building where your room is

  • • Breakfast starts to be served at 6:00am.

Lunch: At the breakfast venues plus the Fauna Ballroom

Snacks: To be served at the Foyer of the ballrooms

Dinner: There are several restaurants in the area within walking distance

08. Conference Attire

• For the opening night, please come in your national costume.

For the conference days from May 26 to 28, we recommend Smart Casual

  • • Men: Pants, Shirts (with or without collar)
  • • Ladies: Dress or Pants and Top
  • • Footwear: Slippers are NOT acceptable

09. Things to Bring

a) Your passport

  • • For immigration purposes
  • • For presentation to the hotel for check-in

b) Your national costume for the Opening Night

c) Power plug adapter

  • • Thailand uses different plug types at 230V supply voltage
  • • Type A: 2 flat parallel pins
  • • Type B: 2 flat parallel pins and a grounding pin
  • • Type C: 2 round pins
  • • It is advisable to bring a universal adapter for your use

d) Prescribed personal medicines (especially maintenance medicines)

e) Sun protection sunscreen and swimming gear for pool swimming

10. Hotel Amenities
  • • Welcome drink upon arrival
  • • Free use of the gym with sauna and swimming pool
  • • Daily 2 bottles of drinking water in the room
  • • Towels and toiletries in the rooms including hair dryers
11. Other Helpful Information

• Payment of conference fees to your respective national ministry offices will be extended until February 15, 2026

Cancellation Charges for the Conference

  • • Cancellation before 15th Feb - No Charge
  • • Cancellation before 15th Mar - 50% Penalty
  • • Cancellation on 15th March and thereafter - 80% of fee
